Task Manager - Best Practices Guide

1. Initial Setup and Learning

Getting Started:

  • Watch the Create Tasks and Complete Tasks training videos before creating your first tasks
  • Create 2-3 practice tasks manually to understand the workflow
  • Test the complete process from task creation to approval before full deployment
  • Create test tasks where you assign yourself as both collector and approver to experience the full assignee workflow

Early Planning:

  • List all facilities and their respective fuel types/requirements
  • Identify key stakeholders (Data Collectors, Data Approvers, facility contacts)
  • Map out your data collection timeline with appropriate buffers

2. User Management and Access Control

Identifying Stakeholders:

  • Identify Data Collectors and Data Approvers as early as possible
  • Maintain segregation of duties by using different individuals for collection and approval roles on the same task
  • If applicable, provide SSO access to the Metrio platform immediately upon identification
  • Create more users than initially needed to allow for quick pivoting

Setting Up Restricted Access via User Management:

  • Consult the user management article
  • Assign Data Collectors and Approvers no roles in the Data Sources module unless they have specific responsibilities requiring access (e.g., user acceptance testing, task configuration, or dual-role users like Global Admins who also serve as Data Approvers)
  • Other Modules: Grant access to additional modules only when justified by business requirements and following proper approval processes (e.g., Publisher report)
  • Use role-based access control to limit system exposure and reduce confusion

Note: Users assigned no roles in all Metrio modules will only have access to the 'My Tasks' whith task steps assigned to them. 

Handling Uncertainty:

  • When unsure about specific assignees, assign multiple users to the same task step
  • Allow multiple assignees to coordinate among themselves for task completion
  • This provides flexibility while ensuring task coverage

3. Training and Documentation

Training Sessions:

  • Use the Complete Tasks training video to understand how to train Data Collectors and Approvers.
  • Data Collectors Training: Cover manual data entry, import functions, comment tagging, progress saving vs. final submission
  • Data Approvers Training: Focus on data validation, reasonableness checks, feedback processes, and finalization responsibilities
  • Record all training sessions for future reference and onboarding

Multilingual Support:

  • Provide training sessions in relevant languages for diverse teams
  • Ensure key instructions and documentation are available in multiple languages

Key Training Points:

  • Emphasize that submitted tasks cannot be edited by collectors
  • Train approvers on their ability to re-enable data entry or reassign tasks
  • Clarify the distinction between "0 consumption" and "data not available"

4. Task Configuration and Instructions

Clear Task Instructions:

  • Add comprehensive collection information instructions at the Data Source level which becomes visible in the task (refer to screenshots hereunder).
  • Include specific examples of expected data formats and entries
  • Attach supplementary documents (ex: PDFs) for region-specific or facility-specific guidance
  • Specify requirements for attachments (row-level vs. comment section)
  • Provide clear guidance for handling missing or unavailable data

Optimized Task Setup:

  • Use attribute parameters to pre-filter dropdown options (e.g., facility + fuel type + year)
  • Create one task per facility rather than multi-facility tasks for better workflow management
  • This allows partial completion and reduces bottlenecks

5. Communication and Monitoring

Proactive Communication:

  • Don't rely solely on Metrio's automated notifications
  • Export task lists to identify pending assignees and send personalized reminders
  • Establish a regular reminder cadence that suits your organization's needs
  • Use direct, personalized communication to avoid spam folder issues

Collaborative Features:

  • Train users on comment section functionality for questions and clarifications
  • Encourage approvers to use comments for requesting additional context
  • Establish clear communication protocols between collectors and approvers

6. Quality Control and Approval Process

Data Validation Standards:

  • Train approvers to verify fuel type/unit combinations make sense
  • Establish reasonableness checks for data values
  • Create clear criteria for when to approve, reject, or request clarification

Approval Workflow Options:

  • Approvers can re-enable data entry for corrections
  • Approvers may make direct edits when time-sensitive
  • Establish escalation procedures for complex data issues

  • Always assume some users will miss deadlines
  • Build appropriate time buffers before actual reporting deadlines
